We are currently seeking a part-time (25 hours per week) Divisional Administrator – Sales and Passive Fire Divisions, to assist our rapidly expanding company.

The ideal candidate would:

  • Have previous administration experience.
  • Be organised with strong communication skills and an excellent telephone manner.
  • Demonstrate time management and prioritisation skills.
  • Possess strong attention to detail and problem-solving skills.
  • Be able to learn quickly.
  • Be motivated, keen to learn, work toward team goals and take on additional responsibilities.
  • Have knowledge of Microsoft Office (Excel, Word and Outlook).

Advantageous experience:

  • Sales administration experience would be valuable but not essential.
  • Previous experience of contracting or similar Industries.
  • Previous use of Joblogic workflow system, Zoho CRM system, Xero Accounting software (purchasing) would be an advantage, but full training will be provided.

Job Description

Divisional Administrator – Sales and Passive Fire Divisions

Reporting to Administration Manager/Divisional Directors

Remote Working

Your role as Divisional Administrator will be varied as dictated by our various customers’ requirements and will include (but not limited to) the following tasks:

  • Manage customer queries and correspondence via telephone and email.
  • Liaise with customers, suppliers, and all staff regarding scheduling of work, quoting, purchasing, logging jobs on Flow (reporting software), Joblogic (workflow software) and other customer and contractor portals, report generating and distributing.
  • Create and update records and databases with workflow information as instructed by divisional directors.
  • Monitor divisional staff training to ensure it is up to date; booking courses and liaising with staff as necessary to ensure training is completed and documented.
  • Arrange staff meetings, prepare agendas, and take minutes as instructed by the Divisional Directors/Administration Manager. Prepare other documents as required.
  • Purchase office supplies and source/purchase equipment for site staff in liaison with the Accounts department, as instructed by divisional staff.
  • Provide cover for Administration Manager and Consultancy Divisional Administrator during holidays and sickness.

You are expected to maintain the company’s high standard of work and be mindful of both the company’s and customer’s requirements and be able to maintain its high standards of quality and efficiency, whilst delivering customer satisfaction.

The company will provide all necessary equipment, training, and professional qualifications to enable you to carry out your role both safely and to the required company standards.

The company will also provide you with the following:

You will be assigned work by the Company Directors and the Administration Manager, as well as having responsibility for scheduling your own work, as capacity allows. The Company Directors expect that every effort is made to accommodate our customers’ needs in this varied and challenging industry.

Your responsibilities:

  • Carry out duties outlined in the job description.
  • Provide our reliable, courteous, efficient, and effective service.
  • Be flexible & willing to undertake works for the other departments within the company, as the Directors see fit.
  • May very occasionally be required to stay away from home depending on location of works. Accommodation and meals provided.
  • Report all defective equipment and replace, as required, using the company debit card at the company’s discretion, communicating spend to the Accounts Administrator.

Job Type: Part-Time, 25 hours per week, over 5 days. To be reviewed after 6 months to assess workload.

Salary: up to £17,225 per annum, negotiable, subject to annual performance review.

25 days paid holiday per annum (pro-rata), plus 8 paid bank holidays.
